Which version of EndNote can I use?

EndNote Desktop

  • Save and organise your references

  • On network PCs, find it in the Programs menu. Staff/researchers may need to ask IT Services to install it on their university computer or laptop.
  • EndNote 20 can be downloaded for off campus use on personal devices.  Go to IT’s Software Download Centre to download the software and access the product key.
  • EndNote is currently designed to work with PCs and Macs. On a Chromebook, it is possible to use some of the functionality of the software using the online version of EndNote.

Downloading referencing styles for EndNote Desktop

Many referencing styles are automatically included in EndNote. However, it is possible to add extra styles to EndNote Desktop.

Instructions for Adding Additional EndNote Styles

Adding a style on a PC
  1. Open Desktop EndNote
  2. Select the relevant file to download. When it has downloaded, select Open. 
  3. A new screen will open with the name of the particular file and the word copy after it. Now select File and Save As.  A box will appear, delete the word copy. Select Save.
  4. The relevant style will be added to Desktop EndNote and you can now close this window and return to the EndNote software
If the method above does not work or you are on a Mac, then please follow these instructions
  1. Close the EndNote software
  2. Download but do not open the relevant style file. This file will usually be added to a download folder.  You may find it useful to copy this file to your desktop to make it easier to locate.
  3. Navigate to the folder where EndNote is installed on your device. On a Mac, this is often located in your Applications folder. On a PC it is usually found within Program Files. Double-click on EndNote 20.
  4. Open the Styles folder
  5. Copy/add the downloaded relevant style file into the Styles folder. Once this file has been added to this folder, you can close this screen.
  6. When you reopen EndNote, the style will be available to use.

FAQS

  • Using EndNote and OneDrive

    When you use EndNote to insert references into Word documents, it constantly reads and writes information back to your EndNote library. If you use files from a cloud-based location such as OneDrive, this can potentially lead to data corruption within EndNote over time. 

    Please note that if you are using EndNote Online then this problem does not occur as data from your references is backed up to the EndNote Online servers.

    However, if you use EndNote Desktop then we would suggest you take the following steps to avoid data corruption.

    If you are using your own device, please ensure when you create your EndNote library that you save this to a location such as a hard drive.

    You will have two files for EndNote – a .enl file and a .dat file. Both these files need to be saved in the same place on your computer for EndNote to function correctly.

    If you are using a university device and only have access to areas such as the OneDrive, then you can save your EndNote Desktop library there. However, to avoid issues with future data corruption, you will need to create a backup of your reference library. It is recommended that a backup is created each time you make significant changes to your reference data in EndNote.

    EndNote Desktop includes an easy option to create a compressed library which produces a single file holding all your data (.enlx) which is smaller in size to your original library.

    To create a backup
    1. Open your EndNote library
    2. Go to File, choose Compress library (.enlx)
    3. Save the .enlx file

    The compressed library file (.enlx) should be stored in the same location as your working EndNote library. As a compressed file does not contain any live connection to EndNote, it will not corrupt if stored on OneDrive.

    EndNote Desktop also allows you the option to synchronise your references with EndNote Online if you prefer to use this version of the software:

  • I can’t see the right referencing styles in EndNote Online or Word

    In EndNote Online a common cause of this issue is that your account has not made the link with your MMU account or that link has expired. You need to upgrade your EndNote Online account to the MMU version, which will includes an enhanced number of referencing styles. 

    Ensure that you have closed Word and logged out of your EndNote Online account before starting this process. 
    1. Access EndNote Online
    2. You may be asked to enter your MMU ID and password.  You will then be taken to the EndNote Online sign in page. 
    3. Enter the email address and password for your EndNote Online account and select Sign In.
    4. If you want to check your account has been upgraded correctly, then within EndNote Online, check under the option Format, then choose Bibliography. You should now see an enhanced list of referencing styles.
    5. Return to Word and open the EndNote toolbar.  From the drop down menu next to Style, choose Select Another Style.  A box will appear, scroll down and select the relevant referencing style.

    If the above method does not work, it is possible to relink your account by accessing your EndNote Online from an on campus PC using the EndNote Online direct login page

    If you have downloaded and installed EndNote Desktop, you may find that you need to add extra referencing styles. 

  • I have been using a referencing style in Word for a while and it now seems to have disappeared.

    A common cause of this issue is that your EndNote Online account institutional access has expired. You need to relink your EndNote Online account with the MMU version which will includes an enhanced number of referencing styles.

  • Can I use EndNote with PowerPoint?

    Please note PowerPoint only works with Desktop version of EndNote and is not currently compatible with EndNote Online. 

    To start, open your EndNote library and your PowerPoint presentation. Go to the EndNote tab in PowerPoint. Select the required style from the Style drop down box. If you cannot see your output style, select another style from the drop down list, then find your style from the available choices.

    Adding a citation
    1. Add a textbox to a PowerPoint slide.  Select in the textbox where you want to add a citation.
    2. Select Insert Citation from EndNote tab
    3. Type in a relevant keyword and select Find to locate the right reference. Highlight the reference and select Insert.
    Adding a reference to your reference list
    1. Add a textbox to a PowerPoint slide. Click in the textbox where you want to add the full reference.
    2. Select Insert Reference.
    3. Find and then insert your complete reference.
    4. Please note that EndNote will not automatically order your reference list in alphabetical order
  • How do I synchronise references between EndNote Desktop and EndNote Online?

    If you are working with both EndNote Online and EndNote Desktop, you have the option to synchronise the two libraries, so that your references appear in both versions of the software.

    To sync your accounts, using EndNote 20, follow the instructions below or watch this short video

    1. Open EndNote Desktop
    2. Select the Library at the top of the screen
    3. From this menu, select Sync
    4. A box will open asking you to enter your login details for your EndNote Online account. Enter these and select OK.
    5. Synchronisation will start. References and groups will be automatically transferred from EndNote Online. 

    Once EndNote Desktop is linked to EndNote Online, synchronisation will be automatic.  So, any new references added in either platform will automatically appear in both versions of the software.

    Students/staff can install EndNote Desktop on personal computers by downloading it from the IT Software Download Centre.

  • Using EndNote on a Chromebook

    EndNote is currently designed to work with PCs and Macs. On a Chromebook, it is possible to use some of the functionality of the software using the online version of EndNote.

    First you will need to setup an Online account – see our instructions.

    Adding Reference to EndNote

    Option 1: use the Capture Reference Bookmarklet

    1. In EndNote Online, select Downloads and then drag the Capture References bookmarklet button to your bookmark toolbar.
    2. When you access a web page you want to add to EndNote, select Capture Reference.
    3. A new screen will appear, you may be asked for your EndNote Online account details.
    4. A reference window will appear.  Check that information is in the correct fields i.e. Author, Year, Title of the page, Access date.
    5. Then select Save and this will add the reference to EndNote.

    Option 2: import References into EndNote – this will work for Library Search and a number of the library databases

    From Library Search/Databases, etc:

    1. Select the references you want to add to EndNote by selecting Save
    2. Select Saved Items
    3. Select Cite
    4. Choose Export to RIS
    5. Ensure that you save the results to a place where you can retrieve them and the file name ends .ris

    Return to EndNote Online

    1. Login to your EndNote Online account
    2. Select the Collect tab and then Import References
    3. Next to File, select Choose File and locate the references, which you have saved.
    4. Use the drop-down menu in the Import Option field to find and select the RefMan RIS import filter. 
    5. Either choose to add the references to a particular group or to the Unfiled area in your library.  Then select Import.
    6. A message in red will appear confirming your results have been added to your library and can now be used for referencing
    Producing a reference list

    If you are not able to install the Cite While You Write Toolbar, this will mean that you will need to manually add your own in-text citations. 

    However, you can use EndNote to generate reference lists to add to your assignments.

    To do this in EndNote you might find it useful to add specific references to a group first.

    Creating a group

    1. To create a new group, select the Organize tab.
    2. Select Manage My Groups and then select New Group and give the group a relevant name i.e. Research Methods, Chapter 1, etc.
    3. Return to My References and tick the records you want to add to your group. Now, select the group name from the Add to Group drop-down menu. References can be added to multiple groups as required.

    Creating a reference list

    1. Choose the Format tab, then select Bibliography.
    2. Next to References select the drop-down arrow and select either a specific group or All References
    3. Now, select the drop-down arrow next to Bibliographic style and scroll down to choose your output style. 
    4. Next to File format select e.g. RTF(rich text file)
    5. Now you can select to download a list into Word. You will need to download and then open the file.  Alternatively select preview and print to see a list in a new window. You can now copy and paste your reference into assignment.  
  • Can I download Aspire reading lists into Endnote?

    You can export all the bibliographic details from an Aspire Reading List into EndNote.

    1. Access the reading list you want to add to EndNote
    2. Choose View and Export.  If you cannot see this option, you may be logged into the reading list system as an editor. You need to switch to the Student View.  Choose View and select As a student.  Then select View and Export.
    3. Next select RIS
    4. A dialogue box will open, select Save File and then OK.
    5. Depending on your browser, you may first need to select Save then either double-click on the download file near the bottom of your web browser or select Open file or select open with, then OK. 
    6. A new box will open. Select either EndNote for Desktop EndNote or EndNote Online. If you have selected EndNote Online, you may be asked to confirm your EndNote Online account details. Enter and select OK.
